Emergency Medical Authorization
I authorize Sun City Sprinters Track Club, its coaches and volunteers to seek emergency medical treatment for my child if I cannot be reached. I understand every reasonable effort will be made to contact me prior to treatment when possible.
Assumption of Risk & Liability Waiver
I understand that participation in track and field involves inherent risks including, but not limited to, physical injury, dehydration, heat exposure, heat illness, falls, collisions, and other unforeseen risks. I voluntarily assume full responsibility.
I release and hold harmless Sun City Sprinters Track Club, its directors, coaches, volunteers, sponsors, facilities, and affiliates from any and all liability arising from participation, except in cases of gross negligence.
Safety, Hydration & Weather Policy
- Practices include approximately 45 minutes of structured warm-up, stretching, mobility, and injury prevention training.
- Athletes must arrive prepared with large water bottles, proper footwear, and weather-appropriate clothing.
- Athletes are expected to arrive fueled and hydrated.
- Practices will only be canceled for lightning or sustained winds over 30 mph.
Code of Conduct
- Show respect toward coaches, teammates, officials, competitors, and facilities.
- Follow all safety instructions and training guidelines.
- Maintain positive sportsmanship at practices and competitions.
- Refrain from bullying, profanity, disrespectful behavior, or unsafe conduct.
- Attend at least two (2) practices per week. Athletes selected for relay events are expected to attend at least three (3) practices per week.
- Communicate absences in advance whenever possible.
Fundraising Participation & Nonprofit Support Policy
Sun City Sprinters is a nonprofit organization that relies on fundraising to support team operations, equipment, travel assistance, and athlete development opportunities.
- Athletes and families are expected to participate in scheduled team fundraising activities.
- Eligibility for financial assistance or travel support may be prioritized for families who actively participate in fundraising.
- Funds raised are used to benefit the team as a whole and are not guaranteed to offset individual expenses.
Relay & Travel Commitment Policy
- Relay selection represents a commitment to the team and competition schedule.
- By accepting a relay position, the athlete and family are committing to attend and compete and may not withdraw once committed, except in the case of injury, illness, or family emergency.
- Withdrawing from a relay after commitment may impact future relay selection and team opportunities.
Photo & Media Release
I grant permission for Sun City Sprinters Track Club to use photographs and video of my child for promotional purposes including website, social media, marketing materials, and fundraising efforts.
Required: USATF Youth Membership Registration
All athletes must complete their USATF Youth Membership registration before participating in practices or competitions.
- Visit www.usatf.org and create a parent account.
- Create a youth athlete profile for your child.
- Purchase the USATF Youth Membership.
- Add Sun City Sprinters as the athlete’s club affiliation.
- Upload your child’s birth certificate to the athlete profile for age verification.
Fees & Nonprofit Disclosure
Sun City Sprinters is a registered 501(c)(3) nonprofit organization. Registration fees support meet fees and event fees and help keep the program running.
